Workspaces and people

Inviting your team

How invitations work, and what each role is allowed to do.

2 minute read

Go to Settings → Workspace, enter an email address, pick a role and send. The invitation is good for seven days. The person does not need an account first: accepting the invitation creates one.

Roles

Every member holds exactly one role in a workspace. The built-in roles are:

RoleCan do
OwnerEverything, including deleting the workspace and transferring ownership. A workspace always has at least one.
AdminEverything except deleting the workspace: members, roles, billing, API keys, files, webhooks, audit log.
BillingSees and changes billing and nothing else. For a finance colleague who should not see your files.
MemberThe everyday role: files, API keys, and reading the workspace's settings.
ViewerRead-only. Sees files and settings, changes nothing.

If none of those fit, you can define your own under Settings → Roles, picking exactly which actions it grants. Custom roles behave like built-in ones everywhere else.

Changing or removing somebody

From Settings → Workspace, change a member's role from the dropdown next to their name, or remove them. Removing somebody takes effect immediately: their sessions for that workspace stop working, though their account and any other workspaces they belong to are untouched.

Owners cannot be removed by other members, and cannot be removed automatically by SCIM. To hand a workspace over, promote the new owner first.

Seats and billing

On per-seat plans the subscription quantity follows the member count automatically: adding somebody adds a seat and charges the prorated difference straight away, removing them releases it and credits the rest of the period. You do not need to buy seats ahead of time. See Plans and limits.

Provisioning from your identity provider

If your organisation uses Okta, Entra ID or similar, members can be created and removed automatically, and their group membership can decide their role here. See SCIM provisioning.
